Whether in the ground, in the store, or in the office, we hand pick all of our ingredients in order to be proud of what we achieve.Performs a variety of general administrative and clerical duties at a stand-alone production operation involved in the processing of white oak logs into staves for bourbon barrel manufacture including: all site-based accounting; clerical support; log, stave and heading inventory tracking (total inventories valued at approximately $14 million); time and attendance and administrative activities at a mill operation. Provides general administrative support and assistance to the mill management team and hourly production employees, and provides indirect support to the log procurement and stave/heading inspection team, as needed.
Responsible for time and attendance of production employees, new-hire administration and orientation. Responsible for the material inventory system including entering logs received, staves manufactured and various inventory transactions to maintain the inventory accuracy. Order operating supplies and materials. Maintain plant records and files. Maintain required regulatory records such as OSHA logs, EPA permits, Workers Compensation records and other regulatory documents. Assist in supervising plant operations for vacation or relief replacement as required.
Coordinates and performs tasks associated with hourly employee administration including: recruitment activities such as placing ads and opening accounts with unemployment offices; coordinating and assisting in employee interviews; employee onboarding; employee time and attendance; tracking and assigning pay rates and work schedules; vacation tracking; maintaining employee files; issuing reports and information on time, pay and attendance; tracking employee training and other duties associated with employee administration. 25%
Maintains the log, stave and heading inventories and associated data files; inputs daily stave/heading production, log receipts and other data into the inventory system; tracks veneer log sales and proceeds; tracks chip and dust sales and income; runs reports and analysis on inventories and production efficiencies; coordinates and communicates with vendors and log suppliers on operating schedules and other duties associated with inventory and production tracking. 25%
Coordinates and performs a variety of EHS activities including: coordinates the overall safety program including conducting safety meetings, tracking and reporting accident and safety data, developing recognition programs, conducting safety audits, etc.; maintains safety related regulatory files such as the OSHA 300 log coordinates with HR for the administration of Worker’s Compensation cases; coordinates the treatment and management of employee injuries; and works with the plant safety teams to guide and coordinate safety efforts. Work with the Manager, Quality and Environmental Compliance in tracking and recording environmental data, preparing reports and correspondence and similar quality and environmental related activities. 25%
Performs and coordinates a variety of miscellaneous activities, including: prepares memos, correspondence, reports, plans meetings, orders office and other sundry supplies in the general support of plant operations; coordinates plant activities and events such as celebrations and community related events; ensures operation and repair of the plant phone and computer systems; provides general administrative support to the log procurement group as needed; maintains plant financial records including tracking receipts from logs sales, maintaining the petty cash fund, depositing receipts in the bank account and similar activities; and, other duties as needed. 25%
Required Experience & Education:
Bachelor’s degree in business or related field and three to five years general administrative experience in a self-sufficient operation OR small business OR equivalent education and experience combined
- Proven capability with spreadsheet, word processing, presentation and e-mail computer applications with a working knowledge of project management, data base and communication applications;
- Ability to maintain strict confidentiality in working with sensitive human resources, planning and financial information
- Ability to prioritize and handle multiple projects and responsibilities while meeting established deadlines
- Excellent written and verbal communication skills
- Excellent interpersonal skills and ability to work around employees and management of all levels
